How to create and activate a promotion

To create a promotion, go to CRM - Promotions from the top menu of the CMS.


Click Add promotion


A new screen will appear with two tabs: Configuration and Information


Configuration tab 


In this section, you can define everything related to how the promotion works.

Promotion details

  • Name for internal use: choose a name so that you can identify the promotion. This name will not be visible to the user. It is for internal tracking purposes only.
  • Service to which the promotion applies: select the service to which you would like to apply the promotion. By clicking on the drop-down menu, you will be able to select first the type of service followed by the specific service to which it applies.
  • Promotion type: choose the type of offer you want to use. Currently, the only option available is a discount percentage, which allows you to offer the customer a reduction in the subtotal amount of the service booked.

 

Period of validity

Here you can set the period in which the promotion will be available for users to get it. The promotion will be valid from the start date you select until the end date (both inclusive). If you wish, you can leave the end date blank; this implies that the promotion remains valid indefinitely.

Using the Set effective hours option, you can limit the promotion to specific times of the day (Add time slot option) and specific days of the week (by checking the box for each day).

 

User types

You can decide whether to target the promotion to all users or only to a particular group.

  • All users: if you want to target it to any user, i.e. both signed-in users (guests) and anonymous users, check this option.
  • Property guests: if you want only users who have identified themselves as guests by signing in to access it, check this option. In this case, you can further refine it: if you have created user segments in your property, you can target the promotion to one or more of them by checking the corresponding checkbox (the list will be displayed when you check the Property guests option). The segmentation of the property’s users is defined by accessing CMS Settings - Segmentation

 

Restrictions

You can define the maximum number of times a promotion is used. For example, if you offer a spa promotion for a relaxing massage during this week, you can limit the number of uses per person or room so that the service does not get overcrowded or to give more customers the possibility to enjoy it. 

 

Max. number of uses: here you must enter the value of the maximum number of times a promotion can be used. If this field is left blank, it means there is no limit to the number of uses and the promotion can be used as many times as desired.

 

When applying this restriction, you have two options: 

  • Apply restriction per user: a user will not be able to use the promotion more than X times.
  • Apply restriction per room: guests staying in the same room may not use the promotion more than X number of times, regardless of the number of people.

 

Information tab

 

In this section, you can define the content that the user will see about the promotion.

 

Information:

  • Name: choose a name for the promotion that is understandable and attractive to users. Don’t forget to include the translation into the languages you use in the CMS (click on the flag icon).
  • Description: explain what the promotion is about and how the user will benefit from it. Any rule or particularity that applies to the promotion should be indicated here.

 

Customizable texts:

Some buttons, fields, and messages that appear during the booking process can be customized to show guests a text of your preference.

  • Button to obtain promotion: write the text that you want to be shown in the button that the user will click to get the promotion. Examples: Get promo, Book now, Buy.
  • Tag: write a text for the label that goes with the promotion name. Some ideas: indicate the percentage discount or the type of promotion. Examples: 20% off, Today only, Offer. 

 

Images:

You can attach one or more images to your promotion. To do so, click on the image icon and a window will open for you to select an image from the gallery or upload a new one. Remember that the order in which you attach the images is the same as the order in which the user will see them.

 

Checking and editing a promotion

 

Once the promotion has been created, it will appear in the list of promotions shown when entering the Promotions section of the CMS (within CRM).

 

In this section, you will see the list of promotions created and a summary of the details of each one:

  • Name for internal use
  • Date created
  • Start date
  • End date
  • Status 

 

The last column shows the actions you can perform: edit (pencil icon) and send notification (bell icon).

 

If you click Edit, you will access the promotion editing screen where you have been choosing the settings to apply.

 

You can edit a promotion anytime and the changes you make will be applied immediately. You can deactivate the promotion, change the effective date or the type of user, etc.



Activating a promotion

 

Once the promotion has been created, the last step is to activate it. You can do this from the editing screen, by activating the button that appears in the upper right corner. When you click it, it will turn green and will show the text Activated. This means that users will be able to see the promotion when accessing the app. 

 

If at some point you need to deactivate it, just click on the button again, and it will be grayed out with the text Deactivated.
