Adding Basic Information to an Activity

Once we’ve created an activity we need to add information to it so the content will be more attractive and useful to our guests. 

To add information we should open the activity’s box following this route: 

Route: CONTENT > LEISURE > ACTIVITY CALENDAR > Activities list 

  1. Click on the “Edit” button of the activity which we want to add information to, besides the activities name. 
  2. Introduce the different types of information you need.

IMPORTANT: We should always introduce all the information in all the languages available for our hotel. To do this, we need to click on the flag icon next to each text field.

 

  • How to add basic information to an activity 

Name 

We already introduced a name when we created the restaurant. 

Description

In this text field we need to introduce a brief description of the activity, whatever you think it’s worth mentioning. Ideally this text should be between 80 and 100 characters. 

  1. Click on the flag icon next to the text field to open the translations pop up and type the description text in all languages available for your hotel.
  2. Click on Ok at the lower right corner of the translations pop up to close it.
  3. Click on the “Save” button. 

Set the reminder for guests

Indicate how far ahead we want to notify guests of when does the activity start, if they decide to add the activity to their agenda. Guests will receive a notification, informing them the activity is going to start in X minutes (the ones already set before). 

 

Image 

If we created the activity using a predefined template, it will already appear. If we created the activity from scratch, we’ll need to upload an image. 

IMPORTANT: All images must be in horizontal format, in JPG or PNG format. Their dimensions should be as close as possible to 1920 px X 1080 px and the file size should not be larger than 300 kbs.

  • How to upload an image:
  1. Click on the image’s frame.
  2. Select an image file from your computer.
  3. Click on “Open”. The image will be uploaded and it will appear in the image’s frame in the CMS.
  4. Click on the “Save” button.
  • How to delete an image:
  1. Hover the cursor over the image you want to delete.
  2. Click on the trash icon which will appear. The image will disappear from the image’s frame.
  3. Click on the “Save” button.

Location 

We can provide detailed information about where the activity takes place, choosing between: 

  • Map point: if we select this option, the map gets activated and we can select the location. We have to introduce the location name we want to introduce in the text box. If the browser does not find any location, we can search and introduce the map point manually.
  • Choose existing facility: if we select this option, we can choose the location from a list of services that have been previously added in the CMS. 

 

  • How to add additional information to an activity

If we want to go a step further and make our activity information much more detailed, we can add different types of “Additional Informations” and tags for the search engine.  

Route: CONTENT > LEISURE > ACTIVITY CALENDAR > Activities list   

  1. Click on the “Edit” button of the activity which we want to add information to, besides the activities name. 
  2. Click on “Add additional information”, at the lower right corner. 
  3. Select the type of information we want to activate from the following options:

Title and description

 

This adds a text field in bold, another text field right below and an icon for each one. To add this type of additional information:

  1. Click on the Title text field and type the text in all available languages. 
  2. Click on the Description text field and type the text in all available languages.
  3. Click on the image frame to upload an icon. You can select one from the gallery or upload one from your computer.
  4. Click on the “Save” button.

If necessary, we can also use the Title and Description additional information to link it to another content in the CMS. 

For example, if we have a Covid-19 protocol for the activities in our hotel, we can upload it once and then link a Title and Description to it (instead of introducing the Covid-19 protocol information in each activity). To do this: 

  1. Click on the Title text field and type the text in all available languages. 
  2. Click on the Description text field and type the text in all available languages.
  3. Click on the image frame to upload an icon. You can select one from the gallery or upload one from your computer
  4. Check the “Link to service” checkbox.
  5. Select from the drop down menu the content to which you want to link the Title and Description.
  6. Click on the “Save” button.

Bullet List

This type of “Additional information” is useful for adding lists of information we want to highlight about our activity. We can introduce every bullet in all available languages.

  1. Type your bullet point text in the text box, clicking on the flag icon to introduce the text in all available languages.  
  2. Click on the “Save” button.

Dress Code 

You can use this type of Additional Information to add the information about your activity’s Dress Code. To add the Dress Code Information:

  1. Type your Dress Code text in the text box, clicking on the flag icon to introduce the text in all available languages.
  2. Click on the “Save” button.

Location Description

You can use this type of Additional Information to provide detailed information about where the activity takes place (for example, indicate the floor of the building if it’s inside a building). To add the Location Description Information:

  1. Type your Location Description text in the text box, clicking on the flag icon to introduce the text in all available languages.
  2. Click on the “Save” button.

Phone number

We can introduce here the information or booking phone number. When guests tap on it, the number will be dialed on their phone. This is why the phone number should have the country’s prefix, because guests might not have a national cellular phone. To add the Phone number:

  1. Type the phone number in the text box. Remember to include your country’s prefix preceded by “+”
  2. Click on the “Save” button.

Youtube

We can introduce a Youtube URL so guests can play a Youtube of the activity on their phone without having to copy-paste the URL into the browser. To do this:

  1. Type the Youtube URL in the text box, clicking on the flag icon to introduce the URL in all available languages.
  2. Check the “Open Youtube video in browser” box if you want the video to open in the phone’s browser. If not, leave it unchecked.
  3. Click on the “Save” button.

Website URL

You can use this Additional Information type to enter the URL of the activity’s website. When guests tap on it, the website will be opened on their phones. To do this:

  1. Introduce a text for the URL’s title. It should indicate to guests what URL will be opened.
  2. Enter the text of the URL’s title in all the available languages.
  3. If you want the URL to be opened in the phone’s browser (outside of the app), check the box. If not leave it unchecked.
  4. Click on the “Save” button.

Virtual Tour

If you have a URL for a virtual tour of the activity, you can enter it using this type of Additional Information. To do this:

  1. Type the URL in the URL text box.
  2. If you want the URL to be opened in the phone’s browser (outside of the app), check the box. If not leave it unchecked.
  3. Click on the “Save” button.

On top of all these types of Additional Information, we can also introduce: 

Tags 

Route: CONTENT > LEISURE > ACTIVITY CALENDAR > Activities list  

  1. Hover the cursor over the activity’s box where we want to add the tags. 
  2. Click on the “Edit” icon.
  3. Click on the Tags text box.
  4. Choose the tags you want from the dropdown menu.
  5. Click on the “Save” button. 

 

  • How to delete Additional Information 

Deleting all items of one type of Additional Information

Route: CONTENT > LEISURE > ACTIVITY CALENDAR > Activities list   

  1. Hover the cursor over the activity’s box.
  2. Click on the “Edit” button.
  3. Click on “Add Additional Info”. Deselect the type of Additional Information you want to delete. 
  4. Confirm in the pop up which will appear asking if you’re sure you want to delete the contents. 
  5. Click on the “Save” button. 

Deleting a single Additional Information item (applies only to Title & Description and Bullet List). 

Route: CONTENT > LEISURE > ACTIVITY CALENDAR > Activities list  

  1. Hover the cursor over the activity’s box. 
  2. Click on the “Edit” button.
  3. Click on the small red x next to the Title and Description item or the Bullet List item you want to delete (to the right of the text boxes). The item will disappear.
  4. Click on the “Save” button.  

Deleting all items of one type of Additional Information

Route: CONTENT > LEISURE > ACTIVITY CALENDAR > Activities list  

  1. Hover the cursor over the activity’s box. 
  2. Click on the “Edit” button.
  3. Deactivate the map location switch. 
  4. Click on the “Save” button.
