How to create and send alerts

This feature allows sending notifications to our guests with anything we would like to inform about, for example if a show is being cancelled due to the rain, promote discounts like a 2x1 for the spa services or just to send a reminder of the shows that will take place at the hotel. 

We can choose between three type alers bearing in mind the moment when they are sent: 

  • Send manually: the alert is sent right after creating it. It can not be edited once created. 
  • Timetable: the alert is programmed to be sent either one or more days at a certain time. It can not be edited once created. 
  • Checkout: the alert is sent before the guest’s check out (12 pm, when his stay ends). It can only exist one checkout alert so we can either activate or deactivate it and also edit the content in the CMS. 

Regardless when we decide sending the alerts, we can create three types depending on the content: 

  • Without link: the alert is composed of the content and image, if we have added one when creating it. 
  • Link external URL: we can add an external link so the alert links to it when the guests clicks on it, and also decide if we want it to be opened in the app or in an external browser. 
  • Link external with video: we can add an external link to a youtube video so the alert displays it when the guest clicks on it, and also decide if we want it to be opened in the app or in an external browser. 
  • Link service: we have to indicate the service which we want to link the alert to (previously created in the CMS). 

How to send manually alerts from the alerts panel 

Route: ACTIVITY  > ALERTS > CONFIGURATION 

  1. Click on the day when we would like the alert to be sent. 
  2. Name box: introduce the name of the alert in all languages available by clicking on the flag icon. For example: “2x1 Spa promotion”. 
  3. Description box: introduce a brief description of the alert in all languages available by clicking on the flag icon. For example: “Enjoy our 2x1 promotion in all Spa treatments from monday to thursday. Book here!”. 
  4. Image: upload an image for the alert. 
  5. Include URL: select from the dropdown menu whether we prefer linking the alert to an external URL, an external URL with video or a specific service already uploaded in the CMS. 
  6. Alert will be sent at: select when we would like the alert to be sent. 
  7. Date range: select the days when we want the alert to be active so it is sent at the time indicated right above. 
  8. Days of the week: select the days of the week when we want the alert to be sent, bearing in mind the date range set before. 
  9. Click on the “Save” button to save the alert. 

 

How to remove an alert from the alerts panel

Route: ACTIVITY > ALERTS > CONFIGURATION

  1. Select the checkout tab. 
  2. Name box: introduce the name of the alert in all languages available by clicking on the flag icon. For example: “Hope to see you soon”. 
  3. Description box: introduce a brief description of the alert in all languages available by clicking on the flag icon. For example: “Enjoy the x discount we have prepared for you on your next booking. Your code is: xxxx”. 
  4. Image: upload an image for the alert. 
  5. Include URL: select from the dropdown menu whether we prefer linking the alert to an external URL, an external URL with video or a specific service already uploaded in the CMS. 
  6. Activate alert: switch this option on/off to activate or deactivate the alert. It means, if we want it to be sent. 
  7. Click on the “Save changes” button to save the alert. 

How to create a personalized alert from the Guest panel

Route: ACTIVITY > GUESTS 

  1. Click on the “Send alert” icon beside the name of the guest we want to send the alert to.
  2. Name box: introduce the name of the alert in all languages available by clicking on the flag icon. For example: “Pool pack”. 
  3. Description box: introduce a brief description of the alert in all languages available by clicking on the flag icon. For example: “Dear guest, just as a reminder: your pool pack is now available at Front Desk”. 
  4. Image: upload an image for the alert. 
  5. Include URL: select from the dropdown menu whether we prefer linking the alert to an external URL, an external URL with video or a specific service already uploaded in the CMS. 
  6. Save
